Privacy Policy

1. What Data We Collect

TicketFlow collects and stores the minimum data necessary to provide the service:

  • Discord server information — server ID, name, and icon (to display your server in the dashboard)
  • Discord user information — user ID, username, and avatar (for authentication and to display who sent a message)
  • Ticket messages — the content of messages sent within ticket channels, synced between Discord and the web dashboard
  • Ticket metadata — ticket status, assigned staff, board placement, and timestamps
  • Server configuration — settings you configure such as ticket categories, staff roles, and board layouts

2. How We Use Your Data

Your data is used exclusively to:

  • Display and manage tickets in the web dashboard
  • Sync messages between Discord and the dashboard in real time
  • Authenticate staff members via Discord OAuth
  • Enforce role-based access controls

We do not sell, share, or use your data for advertising, analytics, or any purpose beyond operating the service.

3. Data Storage and Security

Data is stored in a PostgreSQL database hosted on Railway. All connections between the bot, the web dashboard, and the database are encrypted in transit. Access to production infrastructure is restricted to the development team.

4. Data Retention

Ticket data is retained as long as your server uses TicketFlow. When the bot is removed from your server, you may request deletion of all associated data by contacting us. Closed tickets are retained for transcript purposes unless deletion is requested.

5. Third-Party Services

TicketFlow integrates with:

  • Discord API — for bot functionality and OAuth authentication
  • Sentry — for error tracking (no personal data is intentionally sent; access tokens are scrubbed from error reports)

We do not use any other third-party analytics, tracking, or advertising services.

6. Your Rights

You have the right to:

  • Request a copy of the data TicketFlow stores about your server
  • Request deletion of your server's data
  • Remove the bot from your server at any time, which stops all future data collection

7. Children's Privacy

TicketFlow is not directed at children under the age of 13. We do not knowingly collect personal information from children. Use of Discord itself requires meeting their minimum age requirement.

8. Changes to This Policy

We may update this policy from time to time. Changes will be reflected on this page with an updated date. Continued use of the service after changes constitutes acceptance.
